Founders who set up a US entity from abroad discover the same thing late: "a US address" is not one product but three. A registered agent address satisfies state corporate law. A commercial mailing address receives your bank cards, IRS notices and customer correspondence. A physical workspace is where you meet people. Assuming one covers the others is the most common cause of rejected bank applications and returned government mail.
1.What a US Virtual Office Actually Includes
Providers bundle very different things under the phrase "virtual office". There are three distinct components, and founders routinely conflate them.
1. Registered agent address. A statutory requirement of the state of formation, existing to receive service of process — lawsuits, subpoenas, state notices. It is not a mailbox.
2. Business mailing address. A commercial street address receiving bank correspondence, IRS letters, vendor invoices and courier deliveries. This is what goes on your invoices, website footer and bank application.
3. Physical workspace. Meeting rooms, day offices or coworking desks booked by the hour, usually in the same building as the mailing address.
A realistic package includes:
• Registered agent in the state of formation — typically $50-$300 per year as of 2025
• A street address with a PMB number and mail scanning
• Forwarding on request, domestic and international
• A local phone number with voicemail-to-email or live answering
• A monthly allowance of meeting-room hours
Buying only the first leaves you with a company that legally exists but has nowhere to receive a debit card.
2.Registered Agent: A Requirement, Not an Address
Every state requires a domestic LLC or corporation to continuously maintain a registered agent — also called a resident agent or agent for service of process — with a physical street address inside that state, available during normal business hours. PO Boxes are never acceptable here.
Four things follow:
1. The agent's address is public record. It appears in the Secretary of State's searchable database alongside your entity name and status. This is why commercial agents exist — so a founder's home address does not become permanently public.
2. You need one in every state where you operate. Forming in Delaware or Wyoming does not exempt you from appointing an agent in California, New York or Texas once you foreign-qualify there.
3. It is not a mail service. Most commercial agents forward only state and legal documents and will return ordinary business mail and packages.
4. Lapses have teeth. Losing your agent leads to administrative dissolution, which in turn breaks bank accounts and payment processors.
3.CMRA Status and USPS Form 1583
Any private business accepting mail on your behalf is classified by the USPS as a Commercial Mail Receiving Agency (CMRA), and that classification has consequences.
USPS Form 1583. Before a CMRA may release mail to you, you must file *Form 1583, Application for Delivery of Mail Through Agent*. It requires two forms of identification, at least one with a photograph, and the naming of every individual and entity authorised to receive mail at the box. Identity must be verified — historically by a notary, with remote online notarisation now widely accepted as of 2025.
Address format. USPS rules require a private mailbox designator — PMB 214 or # 214 — rather than "Suite 214".
Why it gets flagged. The USPS publishes a CMRA dataset and address-verification vendors use it. Banks, payment processors and marketplaces check against it. A hit is not an automatic failure, but it removes the assumption that you have a real operating location.
4.Virtual Address vs PO Box vs Home Address
Three options look interchangeable on a form. They are not.
PO Box. Cheap and anonymous, and rejected almost everywhere that matters:
• Not accepted as a registered agent address in any state
• Generally rejected as a principal office address on state filings
• Cannot receive UPS, FedEx or DHL, which do not deliver to PO Boxes
• Rejected by banks, whose customer identification rules require a physical business address
• Rejected by most payment processors and B2B customers
Residential address. Free, and the costs arrive later: your home becomes permanently searchable in state records, many leases and HOA rules prohibit commercial registration, and return volume quickly becomes unmanageable.
Commercial virtual address. A real street address in a staffed building with a PMB number, mail handling and bookable space. It accepts couriers, satisfies the physical-address requirement on bank forms, and keeps your home private.
Never invent an address. Listing premises you have no right to occupy is a false statement on a state filing and grounds for immediate closure of any bank account.
5.Choosing Your City and State
Two decisions are involved — where the entity is formed, and where its address sits. They need not match, but each address carries a signal and a cost.
New York, NY. Maximum credibility for finance, media and professional services. One caution: New York LLCs must satisfy a newspaper publication requirement in the county of their designated office, and the cost varies enormously by county, Manhattan being among the most expensive in the country.
San Francisco and the Bay Area. The right signal for venture-backed software and AI. Any entity doing business in California must register there and pay the state's minimum annual franchise tax, wherever it was formed.
Miami, FL. The default gateway for Latin American trade. Florida levies no personal income tax.
Austin, TX. Credible for technology without Californian costs. Texas has no personal income tax but imposes a franchise tax above a revenue threshold.
Delaware and Wyoming remain popular for formation, but neither gives you an operating address where you actually trade.
6.Mail, Packages and Check Handling
Mail handling is where a virtual office earns its fee, because US institutions remain unusually paper-dependent.
The standard workflow:
1. The item is logged and you receive an email alert with a photograph of the envelope
2. You choose an action — scan, forward, shred or hold
3. Scanned contents arrive as a PDF, typically the same or next business day
4. Forwarding is consolidated weekly, or sent express on request
What actually arrives: IRS notices including your EIN confirmation letter (CP 575), state franchise tax notices, bank debit cards and PINs mailed separately, merchant-processor correspondence and customer returns.
Checks. Paper checks remain normal in US B2B payments, particularly with corporate and government customers. A serious provider will either deposit checks under a limited authorisation or scan and forward them promptly for mobile deposit. Many cheap mailbox services will not handle a check at all.
Packages. Check size limits and free storage periods. A mailbox is not a returns facility.
7.Phone Numbers and Time-Zone Coverage
A US phone number does more work than founders expect: account verification, two-factor authentication, customer trust and, in some cases, bank onboarding.
Number options:
• Local geographic number matching your address city, best for credibility
• Toll-free (800, 833, 844, 855, 866, 877, 888), signalling a national operation
• Direct dial extensions for individual team members
Service levels:
• Voicemail transcribed and emailed as text
• Forwarding to a mobile or VoIP client anywhere in the world
• Live answering in your company name, with message-taking and screening
• Full reception with calendar booking and warm transfers
Time zones are the real constraint. The contiguous United States spans four zones — Eastern, Central, Mountain and Pacific — a three-hour spread before Alaska and Hawaii. A single 9-to-5 Eastern shift misses the last two hours of the Pacific working day. For a team in Europe the Pacific afternoon falls in the middle of the night, which is the gap a live answering service fills.
8.Meeting Rooms, Day Offices and Coworking
The physical layer is used rarely but matters disproportionately: bank appointments, investor meetings, customer visits and visa-related interviews.
What is available:
• Day offices — a private lockable room by the hour or day
• Meeting rooms — four to twenty seats, with screen, video conferencing and whiteboard
• Boardrooms for formal sessions and investor presentations
• Hot desks and dedicated desks in shared workspace
• Phone booths for confidential calls
National networks. Regus, part of IWG alongside Spaces and HQ, has the broadest footprint including secondary cities and airports. WeWork concentrates on design-led space in major metros. Industrious sits at the premium end and is common in Class A buildings. Independent operators are often better value in a specific neighbourhood.
Pricing. Packages include a monthly allowance — commonly two to ten hours — with extra hours billed at rates that vary sharply between Manhattan and Austin.
9.Banking, Google Business Profile and Tax
Banking and KYC. US financial institutions must collect a physical business address under their customer identification obligations; a PO Box will not satisfy it. A CMRA address is permitted but scored as higher risk, and several fintechs popular with international founders decline them outright. Strengthen the application with your EIN letter (CP 575), filed articles of organisation or incorporation, the operating agreement or bylaws, a signed virtual office agreement proving you hold the address, identity documents for the beneficial owners, and evidence of genuine activity such as contracts or invoices.
Google Business Profile. A virtual address is, as a rule, not eligible. Google requires a location staffed by your own people during published hours; mailbox addresses are routinely refused verification or suspended afterwards.
Tax. An address alone creates neither income tax nexus nor a sales tax duty. Physical presence does — inventory held in a state, including stock in a fulfilment warehouse, or employees working there. Since *South Dakota v. Wayfair* (2018) every sales-tax state also applies economic nexus thresholds based on sales volume. Many cities require local registration tied to your address.
A US virtual office is not a single purchase but a stack: a registered agent that keeps your entity in good standing, a commercial address that survives a bank's address check, and workspace you can book when a meeting is unavoidable. Get the layers right at the outset and banking, payment processing, tax registrations and marketplace accounts follow without friction. Astropel arranges registered agent coverage in your state of formation, a compliant CMRA business address with Form 1583 handled end to end, mail scanning and forwarding, US phone service, and meeting space in the cities where your customers actually are.
The scale of the market
The United States is the world's largest economy and its largest single consumer market, with high per-capita spending, deep capital markets and a legal system foreign investors can navigate in English. For most exporters and software companies a US presence is where the revenue is.
Fifty regulatory systems, not one
Company law, sales tax, employment rules and licensing are set state by state. There is no national business register and no national business licence. This is why the address you choose has legal consequences rather than cosmetic ones.
A market that runs on remote work
Distributed teams became structurally normal after 2020 and the infrastructure followed: flexible workspace networks in every metro, mature virtual mail platforms, and clients who no longer assume a supplier occupies a floor of offices.
Where activity concentrates
New York remains the centre of finance and professional services, the Bay Area of venture-backed technology, and Miami of trade with Latin America, while Austin, Denver, Seattle and Atlanta have absorbed much of the growth that once defaulted to California.
